WDDC Billing & Payment Policy

By checking this box, I acknowledge and agree to Whitaker Dog Day Camp’s billing and payment policies outlined below. I authorize Whitaker Dog Day Camp (“WDDC”) to charge the card on file for all applicable services, fees, deposits, balances, and recurring charges.

Card on File & Automatic Payments

  • A valid credit or debit card must remain on file at all times.
  • A $0.10 pre-authorization hold may be placed on the card to verify validity upon first booking.
  • By submitting payment information, you authorize WDDC to automatically charge your card for all scheduled services, memberships, boarding stays, training programs, grooming services, late fees, deposits, and outstanding balances.
  • If card information changes or becomes invalid, updated payment information must be provided before the next billing cycle.
  • WDDC is not responsible for overdraft fees, insufficient funds fees, or banking penalties caused by payment processing attempts.

Membership Billing - Daycare / Training

  • Membership dues are billed weekly or monthly (depending on service) in advance on Sundays or Mondays.
  • Memberships automatically renew and continue billing until a cancellation or change request is submitted and approved by management.
  • Membership fees are charged regardless of attendance, missed days, vacations, travel, emergencies, or unused services.
  • Unused daycare days do not roll over to future weeks and are not refundable.
  • Additional services outside of membership, including boarding, grooming, daycare, or extra days, are billed separately.
  • Membership cancellations, pauses, or changes require a minimum 30-day notice and billing will continue during the notice period.
  • Membership fees are non-refundable and partial weeks are not prorated.

Daily Rate Billing - Daycare

  • Daily daycare services are billed the Sunday of the same week after services are used.
  • Payment is due immediately upon invoice delivery.
  • Outstanding balances may result in suspension of scheduling and daycare services until paid in full.
  • Scheduled daycare days that are missed without advance notice may still be charged or counted as used days.
  • Pick-up failures or unavailable owners may still result in daily charges being applied.

Boarding Billing 

  • Boarding services are charged separately from daycare memberships unless included in an unlimited membership plan.
  • Boarding invoices of $500 or more require a 50% upfront deposit.
  • Remaining boarding balances must be paid before the return date.
  • If payment is not completed before the return date, services may be suspended and immediate pickup may be required.
  • For eligible membership clients, unused daycare days may be applied as boarding credits based on the membership plan calculation for that week only.
  • Any remaining boarding balance after credits are applied will be automatically charged to the card on file.
  • Boarding deposits are non-refundable once dates are reserved.

Training Billing

  • A non-refundable $350 deposit is required to reserve all Board & Train programs.
  • Full payment for Board & Train programs is due on the first day of training.
  • Training services, lessons, and training memberships may be charged automatically to the card on file.
  • Deposits, training payments, and reserved training spots are non-refundable.
  • No refunds are issued for canceled, unused, partially used, or terminated training programs, private lessons, or Board & Train stays.
  • If a dog is removed from training early, transferred to private lessons, or deemed unsuitable for training, all payments remain non-refundable.
  • No-shows or late cancellations may result in forfeiture of payments and cancellation of services.

Late Payments & Declined Charges

  • Payments not received within five (5) days of the invoice due date are subject to a $30 late fee.
  • Services may be paused, denied, or terminated for unpaid balances.
  • Multiple declined payment attempts may require ACH payment enrollment to continue services or membership benefits.

Pricing & Fee Changes

  • Prices and membership rates may change periodically.
  • Active clients will receive at least 30 days notice before pricing changes take effect.

Refund Policy

  • Membership fees, deposits, training payments, reserved spots, and prepaid services are non-refundable unless otherwise required by law.
  • Partial weeks, unused days, missed services, and early removals from programs are not eligible for refunds or credits.
  • Clients may cancel within three (3) days of signing for a full refund less the value of any services already used during that period.
